2. Group Confidentiality — Participant Obligation
This is a shared responsibility. Group coaching is a confidential space. Everything said within the group — by the coach, by you, and by other participants — is strictly confidential. By participating, every group member agrees to uphold this principle without exception.
Each participant agrees to:
- Keep all content shared by other participants strictly confidential. This means not repeating, paraphrasing, sharing, or alluding to what others have said — to anyone, at any time, in any format (spoken, written, or social media).
- Not identify other participants to anyone outside the group without their explicit consent.
- Treat others' personal disclosures, goals, challenges, and experiences with complete discretion.
- Not record or screenshot any part of a group session without the written consent of all participants and the Coach.
The obligation of confidentiality continues after the programme ends. There is no time limit on this duty.
3. Group Norms and Ground Rules
To create a safe and productive group environment, all participants agree to the following ground rules:
- Respect and dignity: Treat all group members with respect, regardless of differing perspectives, backgrounds, or experiences.
- Listen actively: Give full attention when others are speaking. Avoid interrupting or multitasking during sessions.
- Speak from your own experience: Use "I" statements and speak from your own perspective. Avoid generalising or speaking for others.
- No advice-giving: Unless explicitly invited, refrain from giving advice, solutions, or "you should" statements to fellow participants. This is a coaching space, not a problem-solving group.
- Punctuality: Arrive on time for each session. Late arrivals disrupt the flow for everyone. If you cannot attend, notify the Coach in advance.
- Commitment: Engage fully in each session and complete any agreed between-session actions.
- Device-free presence: During sessions, be free from distractions. Mobile phones should be on silent and other applications closed.
- Psychological safety: Challenge ideas, not people. It is acceptable to disagree — it is not acceptable to belittle, dismiss, or demean.
4. Fees and Payment
The programme fee of [£XXX] per participant is payable as follows:
- [Full fee payable before the first session / Deposit of £XX due on booking, balance due before the first session / Payment plan: £XX/month for X months]
- Payment method: [Bank transfer / Stripe / PayPal]
A place in the programme is reserved only on receipt of cleared payment (or agreed deposit). The Coach reserves the right to release reserved places if payment is not received by the agreed date.
5. Cancellation and Refund Policy
Group programmes require commitment from all participants to function effectively. The following policy applies:
- Cancellation more than 14 days before the programme start date: Full refund minus a [£XX] administration fee.
- Cancellation 7–14 days before the programme start date: 50% refund.
- Cancellation less than 7 days before the programme start date or after the programme has begun: No refund. In exceptional circumstances (e.g. serious illness, bereavement), a credit towards a future programme may be offered at the Coach's discretion.
Missed sessions within a programme: If a participant misses one or more sessions after the programme has begun, no pro-rated refund is available. Session recordings, notes, or catch-up calls may be offered at the Coach's discretion.
Consumer rights: Nothing in this policy affects statutory rights under the Consumer Rights Act 2015 or any applicable distance selling regulations. Participants who are consumers (not purchasing in the course of a business) retain their statutory rights.
6. Participant Conduct and Programme Disruption
The Coach is committed to maintaining a safe, respectful, and productive environment for all participants. The Coach reserves the right, at their sole discretion, to:
- Speak privately with any participant whose behaviour is adversely affecting other members of the group.
- Ask a participant to leave a session — temporarily or permanently — if their conduct is harmful, disrespectful, or in breach of the ground rules.
- Remove a participant from the programme without refund in serious cases of misconduct, including harassment, persistent breach of confidentiality, or threatening behaviour.
Where a participant is removed due to their own misconduct, no refund is due for unused sessions. Where a participant needs to leave due to circumstances beyond their control, a credit towards a future programme may be considered.
7. Intellectual Property
All programme materials — including workbooks, frameworks, slide decks, resources, exercises, and recordings — are the intellectual property of [Business Name] and its licensors. Participants may use materials for personal development purposes only. Materials may not be reproduced, distributed, shared publicly, or used for commercial purposes without prior written consent.
8. Coach Responsibilities
The Coach agrees to:
- Facilitate each session with professionalism, care, and impartiality.
- Maintain confidentiality for all group members individually and collectively.
- Create and uphold a psychologically safe group environment.
- Give reasonable notice of any changes to session dates or format.
- Replace any session cancelled by the Coach at no additional cost.
9. Governing Law
This Agreement is governed by the law of England and Wales.
